No-code platforms like Zapier and Airtable have made it easy for promo businesses to build their own systems – moving order data, syncing customer info, automating approvals, and more. It’s been huge for small teams who need to move fast without a full-time developer.

But here's the tradeoff: when you build your own tools, you also take on some of the responsibility for keeping them secure. The platforms provide the building blocks, but it’s up to you to use them wisely.

This is called shared responsibility. The platform handles the infrastructure – servers, encryption, and so on. But how you build, what you connect, and who has access? That’s on you.

The folks at OWASP, a nonprofit focused on software security, recently published their Low-Code/No-Code Top 10. It’s not bedtime reading, but it is a clear warning: even drag-and-drop apps can open the door to serious problems if you're not paying attention. Let’s break down what matters, in plain English, and what you can do to protect your data, your customers, and your business.

1. It Might Look Like You, But It’s Not You

When you build an automation, it often runs under your account – even when someone else triggers it. That means if something goes wrong, logs and records point back to you, not the real user. Worse, if someone finds a way to misuse the automation, they can act with your level of access.

How to fix it:

Use separate service or “system” accounts for business-critical connections.
Avoid embedding your personal login into any automation, unless necessary.
Look for platforms that let you audit actions by user – not just by workflow.

2. Too Much Access, Too Easily Shared

Many automation tools make it easy to “just connect” things. But that simplicity can mask sloppy access controls. You might accidentally give full access to data that only a few people should see—or worse, allow someone to take actions they shouldn’t be able to.

How to fix it:

Review permissions regularly. Who can do what?

Before adding anything new, check when it was last updated, and read the reviews.

8. Passwords Shouldn’t Be in Plain Sight

It’s easy to hard-code an API key or login into your automation. But anyone with access to that workflow can now see, and potentially misuse it. Worse, that key might be included in logs or browser-visible code.

How to fix it:

Use environment variables or secure vaults if the platform supports them.
Never paste API keys into visible steps or comments. Don't add API keys to code steps in Zapier.
Rotate keys and passwords regularly, and revoke access when people leave the team.

9. Forgotten Apps Can Still Bite You

You built a workflow last year. It still runs, but no one really owns it anymore. That’s a problem. Old automations can keep accessing data, sending emails, or posting orders long after they’ve outlived their purpose.

How to fix it:

Keep a running list of every live automation and who’s responsible for it.
Disable anything that’s not in active use.
Build an offboarding checklist so nothing breaks (or leaks) when someone leaves the team.

10. You Can’t Investigate What You Don’t Log

When something breaks – or worse, when something is misused, you need logs to trace what happened. But some no-code tools either log too little or log too much in the wrong places.

How to fix it:

Make sure your platforms are capturing logs, and that you know where they go.
Check if logs include sensitive data like emails, API keys, or passwords. If so, that’s a risk.

Automating Product Photos: JavaScript + Photoshop

Ten years ago PromoPilot founder, Eric Granata, published a Photoshop script that he produced to help automate the task of cropping and saving product photos on his personal website. Today we're adapting that content for PromoPilot. He told us we could. We've also updated the script to support PNG source files.

Online company store professionals spend a lot of time in Photoshop preparing images for e-commerce stores. Often, a lot of time is spent preparing product images – including cropping and saving images at different sizes. That might not sound so bad, but consider your typical t-shirt product which might include the following images:

Front
Back
Profile
Model
Lifestyle

Five images. Okay. But this shirt comes in 6 different colors so we're going to bump that up to at least 10 images for this product. Oh, but our store requires each image in three sizes for the thumbnail, default and zoom on the product detail page. That's 30 images for one product. Start putting together images for a catalog of a few dozen items and you can see that this may take an afternoon. The solution?

Automatically Crop and Export Product Photos with JavaScript

Note: While we prefer to keep code out of the materials we produce in the interest of keeping it accessible to industry technologists, it is important to note that you do not need to know JavaScript to use this script.

That said, if you are learning or are just curious, you open the script in a text editor to see how it works. You could even try tweaking it. We just ask that, if you improve it in some way, that you honor the Creative Commons license linked to at the bottom of this article.

Did you know that you can script many Adobe applications with JavaScript? It's quite cool. But why use scripting instead of recording a Photoshop Action? Well, in our case we needed a solution that was smarter than what an action could do. We needed to take into account the varying shapes and sizes of the source images, allow users to set the padding and crop sizes before processing, and save all of the files with a consistent naming convention to make it easier to prepare a batch upload CSV.

This article will not go into detail about how scripting Photoshop is done. There are far better articles on that subject. If you don't know JavaScript but are interested in learning, check out codecademy.com and work through their interactive course.

Download the Script

Finally, we're going to let you download the script Eric used to quickly crop and export product images. Here's how you use it:

D ownload and unzip this folder.
Open Adobe Photoshop.
Run the script by selecting "File > Scripts > Browse..." and locating the PromoPilot Crop and Export.jsx file.
Set your source folder – the photos you're going to process. Source images should be .jpg or .png and have the products already isolated on a white or transparent background.
Set your output folder. This is where your processed images will be saved.
The script will output up to three images for each source image. These can be used as your default, thumbnail, and zoom images. You can the choose the width of each output. The resulting images are square.
Set your desired Padding and Quality and press OK.

The processed images will appear in your output folder. Each image file retains the original file name and appends it with the pixel width numbers that you configured.

For easy access, add the downloaded folder to your Photoshop Scripts folder. On Mac it is at Applications > Adobe Photoshop > Presets > Scripts. By placing the folder here, the PromoPilot Crop and Export script will appear in your File > Scrips menu automatically.

Your images are saved with the original file name and a suffix for the image size you set previously. Use this script to output thousands of images quickly. You'll find it works best for photos where the product has already been isolated on white. We hope you find it useful. What's a webhook? – A webhook is like a digital messenger that automatically notifies one system when something specific happens in another system. It allows different applications or services to communicate and share information in real-time without constant manual checking. Very handy to have, but sometimes an email hook is the only option.

Like webhooks, email hooks can act as notifications that something has occurred in a specific app. You won't be surprised to learn that the method for that communication is pretty familiar to you – email! Email hooks work by receiving emails sent to a specific address, pulling out the valuable data, and triggering actions based on the extracted information.

How Email Hooks Work

Receiving Emails: An email is sent to a designated address that is monitored by your automation platform.
Parsing Content: Next, you need to parse the email's content, identifying and extracting relevant information such as sender details, subject, body text, and attachments.
Triggering Actions: The extracted data initiates automated actions within your chosen no-code automation platform.

The Benefits of Email Hooks

Email-hooks share many of the same benefits as webhooks.

Increased Efficiency: Automating routine tasks like data entry and updates reduces the time spent on manual processes and minimizes human error.

Seamless Integration: Email hooks can be set up in a multitude of no-code platforms like Zapier, Make, or Zoho Flow, enabling integration with various applications.

Getting Started with Email Hooks and Zapier

Select a Parsing Tool: For simple email parsing, you might be able to use Zapier's Email Parsing app. However, you'll likely want something with a bit more sophistication – I've always been happy with MailParser for extracting data from emails or DocParser if you're extracting data from attachments like PDFs. Both options are supported by Zapier.
Set Up an Email Address: In your parsing tool of choice, configure a specific email address to receive the emails you want to extract data from.
Define Parsing Rules: Also in your parsing app, you'll need to establish rules to extract the necessary data from your emails. This can take some time if you're working with complex emails or attached documents. The fine folks at DocParser can even set this up for you, for a small setup fee.
Integrate with No-Code Tools: Now that you have the email's data parsed, you can use it in your Zapier workflow.

Pro-Tips When Using Email Hooks

While handy, email hooks are often a last resort due to the potential for inconsistent email content and lack of structured data. Parsing works best when the content being parsed is predictable. For this reason, we recommend these tips to heed when working with email hooks:

Consider how your apps send emails – a user might trigger an email when sending a quote, you might have automated email notifications, often an app will send regularly scheduled reports via email. In each of these cases, an email hook can be configured.
Emails or attached documents should be formatted predictably to match your parsing rules.
Definitely consider having DocParser or another professional build your parsing rules. They'll know all the tricks for getting clean data consistently.
Industry tools like ESP, commonsku, SAGE, and others may have a feature to BCC an email address when a document like a presentation, quote, or sales order is sent to a customer. If you can configure that BCC field to automatically include your email hook address, consider doing so. That way your sales team doesn't have to remember a funny looking email address.
